Everything you need to know before you list your gear or book your first machine.
Is Heron Hire right for me?
I only need gear for one weekend job. Is it worth the hassle?
That's exactly who Heron Hire is built for. Most bookings are for a single day or weekend — a homeowner clearing land, laying turf, or knocking over a concrete pad. Searching, booking, and paying takes about five minutes. You get the right machine for the job, use it, and return it. No storage, no maintenance, no depreciation sitting in your driveway.
Quick take
A compact excavator costs roughly $15,000–$25,000 to buy. A day's hire through Heron Hire runs a fraction of that — and you don't need a trailer or a shed to keep it in.
I'm not a tradie. Will I actually know how to use the equipment?
Most equipment on Heron Hire is designed to be operated by capable adults with a quick read-through of the manual — not someone who went to trade school. Owners often include a brief handover when you collect the machine, walking you through the basics. And listings include the equipment type and any experience recommended, so you can choose gear that matches your confidence level.
From an owner
"I always spend 10 minutes showing first-time renters the controls when they pick up. Most people get it straight away — it's simpler than it looks."
— Equipment owner, Sunshine Coast
I'm an owner. Is there actually demand in my area?
Demand for equipment hire in regional and suburban Queensland is consistent — particularly through spring and summer when homeowners are tackling outdoor projects. The peer-to-peer model means there's less competition than going up against a national hire chain, and renters actively prefer local because pickup is easier and prices are better. Being early means you capture demand before others list in your postcode.
Quick take
The DIY home improvement market in Australia generates billions annually — and a large share involves equipment that most households have no reason to own permanently.
How it works
How do I actually book — and how long does it take?
Search for the equipment you need, filter by location and date, and request a booking. The owner confirms — usually within a few hours — and payment is held securely until pickup. You'll get the owner's contact details and can sort out the logistics directly. From first search to confirmed booking typically takes less than ten minutes.
The whole process
Search → Book → Pay → Pick up → Return
Do I need to organise my own transport for the equipment?
Logistics are arranged between you and the owner — most equipment is collected by the renter, though some owners offer delivery at an agreed rate. You'll see delivery options in the listing before you book. For smaller machines like tillers or pressure washers, a standard ute tray handles it. For larger gear like excavators or loaders, check whether the owner can arrange delivery or if you need a trailer.
Quick take
Each listing clearly states whether owner delivery is available, so you know what you're working with before you book.
How does listing my equipment work? How long does it take?
Creating a listing takes about 10–15 minutes. You describe the equipment, set your daily rate and availability, upload a few photos, and choose your pickup address. Once published, renters can find you straight away. You control when you're available — block out dates any time, and you can pause or remove your listing whenever you like.
You stay in control
You set the rates. You set the availability. You approve each booking. Heron Hire never commits your equipment without your say-so.
What happens if I need to cancel a booking?
You can cancel through the platform and our cancellation policy outlines what refund applies based on how much notice you give. We aim to be fair to both renters and owners — last-minute cancellations impact owners who turned down other bookings, so earlier is always better. Full policy details are in your account and on the booking confirmation.
If the owner cancels
You receive a full refund with no questions asked. Your money is held securely until pickup — it never goes directly to the owner until the rental begins.
Costs & fees
What does it cost to list my equipment?
Nothing upfront. Listing on Heron Hire is free. We take a small platform fee only when a booking is completed — meaning you only pay when you earn. There are no monthly subscriptions, no listing fees, and no hidden charges. Early owners on the platform are eligible for a reduced platform fee as part of our launch incentive.
Launch offer
Owners listing during our launch period are eligible for a reduced or waived platform fee. Get in early to lock it in.
Is hiring through Heron Hire actually cheaper than a hire company?
In most cases, yes — significantly. Traditional hire companies carry the overhead of depots, large fleets, and staff. Peer-to-peer means the owner sets the rate based on what makes sense for their gear, not what a corporate pricing team decided. You also skip the long queues and stiff paperwork of walking into a hire depot.
Real-world comparison
A ride-on mower from a national hire company typically runs $200–$280/day with mandatory extras. The same machine through a local owner is often $100–$160/day with a friendly handover included.
How do I know I'm setting the right daily rate as an owner?
You're in control — set whatever rate makes sense for you. A good starting point is roughly 1–2% of the equipment's current replacement value per day. So a $15,000 machine might list at $150–$250/day. You can adjust your rate any time — if bookings are strong, put it up; if it's slow, try a lower price and see what moves.
Payback timeline
A machine that earns its purchase price back in 2–3 years of weekend hire typically pays for itself faster than most people expect.
Safety & trust
What if the renter damages my equipment?
This is covered in the hire agreement accepted at booking — renters are responsible for damage during the rental period. We strongly recommend documenting the equipment condition before and after every hire with dated photos, which you can log through the platform. Any disputes are handled through our support process. For high-value equipment, speak to your insurance broker about adding a peer-to-peer hire endorsement to your existing policy.
Owner tip
Most owners take a quick video walkthrough at pickup — 90 seconds of footage that clearly shows the machine's condition is the single best protection if a dispute arises.
How do I know the owner is legitimate and the gear is as described?
Every owner creates a verified account and listings go through a review process before going live. After each completed hire, renters leave a review of the equipment and the owner — so you can read real experiences from real people before you book. Look for owners with multiple completed bookings and honest reviews. If anything seems off when you arrive, you're not obligated to take the equipment.
Two-way reviews
Owners also review renters after each booking. Both parties have skin in the game — which keeps the platform honest.
Is my payment secure? What if something goes wrong?
Payments are processed securely and held until the rental begins — the owner doesn't receive funds until pickup is confirmed. If an owner cancels, you're refunded in full. If equipment doesn't match its listing, contact us straight away and we'll work to make it right. We don't handle cash or direct bank transfers — everything runs through the platform for both parties' protection.
Processed by Stripe
Payment processing is handled by a leading global payments provider used by millions of Australian businesses. Your card details are never stored on Heron Hire's servers.
Support
What if the equipment breaks down during my hire?
Contact the owner first — they know the machine best and can often troubleshoot quickly. If the fault is mechanical and not caused by misuse, the hire agreement covers how that's handled. If you can't resolve it directly, contact our support team and we'll step in. Owners are responsible for ensuring their equipment is in good working order before each hire.
Accountability
Every listing includes a condition disclosure. Owners who receive complaints about mechanical issues are reviewed and listings can be suspended while we investigate.
I'm not very tech-savvy. Can I still use the platform?
Yes — the platform is designed for everyday Australians, not people who spend their day in front of a computer. If you can book accommodation or buy something online, you can use Heron Hire. If you get stuck at any point, our support team can walk you through it over email or phone. Creating a listing or making a booking should never require a help desk.
Tested with real people
We test the platform with users who have never hired machinery before. If something feels complicated, that's on us — not you.
Earning potential
How much can I realistically earn from listing my equipment?
It depends on your equipment type, location, and how often you make it available. A compact excavator listed at $250/day booked just two weekends a month earns $2,000 in that month alone. Smaller gear like pressure washers or tillers earn less per day but tend to book more frequently. Think of it as making your equipment work on the weekends it's sitting idle anyway.
Worked example
Excavator at $250/day × 8 weekend days/month = $2,000/month gross. After platform fee, that's consistent passive income from a machine you already own.
Does listing affect my equipment warranty or insurance?
Warranty conditions vary by manufacturer — commercial use or hire activity can affect some warranties, so it's worth checking your documentation or asking your dealer. For insurance, your existing machinery policy may not cover third-party hire use automatically. Speak to your insurer and ask specifically about peer-to-peer hire endorsements — many will add this for a modest premium. It's a straightforward conversation worth having before your first booking.
Ask your insurer
"Does my policy cover me if a third party operates this equipment under a hire arrangement?"
Most can add coverage — it's a known scenario for brokers.
